SOOSDAY Privacy Policy
SOOSDAY is a workplace application operated by KBT. It connects employees and company administrators with organization, attendance, HR, approval, and communication features. The organization that invites you to SOOSDAY also controls much of the workplace information you see and submit. Contact your employer about its own employment records and retention rules.
Information we handle
- Account and security: name, email address, phone number if supplied, password hash, verification and sign-in records, account preferences, organization membership, device/session details, and security logs.
- Workplace records: employer and staff profile details, attendance times, precise GPS coordinates and selfie photos when your employer requires them for a check-in or check-out, leave and other HR requests, payroll information where available to you, announcements, events, policies, approvals, messages, and files you submit.
- Device and technical information: app version, device and push notification identifiers if notifications are enabled, IP address, and diagnostic and audit information needed to operate and secure the service.
- Permissions you choose to use: camera for activation QR codes and attendance selfies; photos/files for other uploads; precise foreground location for an attendance punch when required by your employer; notifications for workplace updates; and device biometrics for local app unlock. SOOSDAY does not receive your fingerprint or face template from the device operating system.
How we use information
We use this information to create and secure accounts, verify email, provide your organization's workplace functions, process the actions you request, show relevant records and notifications, troubleshoot problems, prevent misuse, and meet applicable legal or business record obligations. When required for attendance, SOOSDAY requests camera and location access during the punch action. The selfie and coordinates are uploaded with the attendance record for authorized employer staff to review. SOOSDAY does not track your location in the background. These permissions are not needed for general browsing of the app; declining them stops that attendance action if your employer requires the evidence.
Who receives information
Your employer and its authorized administrators can access workplace records according to their permissions. KBT personnel may access information when needed to operate and support the service. We use service providers for hosting and object storage, transactional email (Zoho Mail), and optional push notifications (Firebase Cloud Messaging and Apple Push Notification service). Map tiles requested from OpenStreetMap may receive technical connection information such as your IP address and map area. We do not use SOOSDAY to sell personal information or show advertising.
Information may be processed in countries where KBT and its providers operate. Access is controlled by account permissions, and app to server traffic uses HTTPS.
Retention and deletion
We keep account and workplace information while needed to provide SOOSDAY, support the employer's records, and meet legal, security, and audit obligations. Attendance selfie files follow the employer-configured photo retention period (90 days by default); the attendance record and file metadata can remain after the image is removed. Other retention periods depend on the record and applicable law. Backups may remain until their normal rotation expires.
You may request deletion of your SOOSDAY account using the account deletion option in the app or by writing to chhayphakkdey@gmail.com from your registered email address. We will verify the request, aim to remove or de-identify the login and profile data that can be deleted within 30 days of your request, and tell you the outcome. Company HR, payroll, attendance, and audit records may be retained where KBT or your employer has a legal retention duty. Deleting your SOOSDAY account does not itself cancel your employer's business subscription or erase records that your employer must keep.
You may also ask us for access to or correction of your account information. For employer-controlled workplace records, your employer may need to handle the request. Contact us if you need help identifying the right contact.
Changes
We may update this policy when SOOSDAY or its data practices change. The current version will be available in the app and on our website, with a new effective date.
